Contract Renewal

If you submit a paper dossier, submit only ONE (1) copy in file folder(s) with an elastic band holding the application together. Kindly complete the checklist provided and place it on top of your submission. Do not put your application in binders. Do not use staples or paper clips and note that all pages to be scanned should be on single-sided 8.5 x 11 paper. Do not put either coloured sheets or dividers between the sections of your dossier.

If you submit an electronic dossier, follow the checklist and include the checklist with your submission. Further, the dossier must be presented in a single document (no folders, no separate parts for the dossier).

The material in your application for re-appointment (contract renewal) should contain the following (in the specified order):

1.  Letter of Application
This should simply request reappointment of your probationary (tenure-track) position. If you choose to provide statements on research, teaching and service within the letter of application rather than as separate documents, then do not duplicate the same information in items 3,4 or 5 (they may be omitted). Your letter, or statements, should address the successes and difficulties you may have encountered, specifically addressing any points raised in previous renewal (if applicable). Documents relating to your previous renewal; Provost’s letter, Dean’s memo, FPTC report, DPC report should be included immediately following your letter of application.

2.  Curriculum Vitae
Please prepare your c.v., dated and paginated, in the following order

  • Biographical Information
    • Name
    • Employment history:
      • List all academic and non-academic positions (most recent first).
  • Academic background:
      • Colleges and universities attended, degrees received, dates (most recent first).
      • Honours and Awards
      • Post-doctoral training (if applicable)
      • Licensing (if applicable)
  • Languages, (proficiency)
    •  
  • Research
      • Publications:
        • Your c.v. should list of all of your published work, with the most recent first
        • Publications include books, monographs, chapters in books, journal articles, book reviews
        • Please ensure that journal titles are written out in full, not abbreviated, and using the proper bibliographic citation as required in your discipline
        • The author listing for your papers should be in the same order as the original publication and should have year, volume and page numbers
        • In your list of publications, student co-authors should be noted with an asterisk (*). Please also indicate if the publication is peer-reviewed or not.
        • For work submitted for publication, please indicate whether the manuscript(s) is (are) currently under evaluation, revision or accepted for publication
        • If you have had a paper accepted for publication, include proof of acceptance in your dossier
        • For any work in progress, please list the title of any manuscript(s) you expect to submit or projects that are underway
      • Conference Presentations:
        • The author listing for your conference presentations should be the same as submitted and should include the conference name, country, city, month, and year
        • For work submitted for presentation, please indicate whether the manuscript(s) is (are) currently under evaluation, revision or accepted for presentation
        • If you have had a paper accepted for conference presentation, include proof of acceptance in your dossier
        • Student co-authorship or presentation should be noted with an asterisk (*)
      • Funding:
        • List any research grants which you have received or applied for, including the title of the research project or grant
        • Any external funding (awarded or applied for) should have the dollars awarded per year as well as the length of the grant (number of years)
        • Please indicate, by providing the list of applicants, if you are the principal investigator or a member of a team grant
        • If you are a member of a team grant and receive some funding per annum, make sure to indicate the amount
         
  • Teaching
      • You should list all courses taught, by year, with the most recent first
      • Include any tutorials
      • Please include all student supervision, both undergraduate and graduate, with the title of any thesis or research paper if appropriate
      • Any other student committee participation should be noted
       
  • Service
      • You should include service to the university and the academic community
      • List participation on university or Faculty bodies or committees with period of service
      • List participation on departmental committees and/or any administrative work in your department
      • Serving on an external granting agency, journal committee or editorial board should be listed under service, not research
       

3.  Research Statement You may include a statement on your research. This should also elaborate on your evaluation of your research and your plans for the future.

4.  Teaching Statement
 You may include a statement on your teaching philosophy. You may want to include the information regarding the typical level of student in your courses. For example, if you taught a general education course, you may want to note that most of the students were non-program students. If you have experienced any problems with your teaching, you should discuss that in your application and how you have addressed them.

5.  Service Statement
You may include a statement regarding service. If you choose to do so, please explain the amount of work expected - for example, if you were an editor of a journal, how many papers did you have to review during the period? If you served on an external granting agency review committee, how many applications you were responsible for reading, etc.

6.  Research Dossier - Please refer to Article 14.01.i) of the CUFA collective agreement. Please include one copy of every publication listed in your c.v. If you have had a paper accepted for publication, include proof of acceptance in your research dossier. If you have had a paper accepted for a conference which has not yet occurred, include proof of acceptance in your research dossier.

7.  Teaching Dossier - Please refer to Article 14.01. c), d), e) and f) Include all course evaluation summary sheets from CTLS in the same order as listed in the curriculum vitae. You should also include a list of thesis and other student research supervisions. You may include course outlines, handouts, etc. in this dossier. These should be single-sided with any staples removed. Do not submit any anonymous student evaluative information.

8.  Service Dossier - Please refer to Article 14.01.j)
You may wish to include in this dossier; letters of appointment to committees, agencies, review boards, letters of thanks for services rendered, etc.

9.  Supplementary Material (if applicable) You may include books, CDs, DVDs and sample course packs as supplementary material. Each item should have a photocopy of identifying information (such as a title page) placed within the appropriate dossier.
